BICAA Community Arts Mini-Grant Instructions and Application

Beaver Island Cultural Arts Association (BICAA)
MINI-GRANT APPLICATION INSTRUCTIONS:


Eligibility:

BICAA mini-grant funds may be applied for by groups or individuals for non profit purposes that benefit the Beaver Island community. It is not necessary for local organizations or groups to apply for funding to be incorporated or have tax-exempt status. An off Island organization or group will be considered if the project occurs on Beaver Island and benefits the local community.

A. Application should be TYPED or PRINTED CLEARLY.
B. All portions of the application form should be completed and all figures clearly totaled.
C. Completed applications must be post marked on or before Friday, January 17, 2014, to be considered. You will receive an email or mail confirmation.
D. Proposals must be open to the public, without discrimination on the basis of race, color, national origin, sex, or age.
E. Site of project must be accessible to persons with disabilities.
F. Grant funds awarded will not exceed $1000.
G. In the event of project cancellation, the total amount of grant funds received must be returned to BICAA.
H. Grantee must notify BICAA, in writing, of any major change in the project as described in the grant application.
I. If a proposal is re-scheduled beyond the time period proposed in the Mini Grant application, the grant is cancelled, and grant funds received must be returned to BICAA unless written permission is received from the BICAA Board.
J. Acknowledgement of BICAA grand funding must appear in all brochures, programs, public service announcements, press releases, and advertising; failure to acknowledge BICAA as a funding source will disqualify future requests.
K. Recipients of BICAA grant funding must submit a written, final or follow-up report within 30 days after the program or project has been concluded. The report should outline how the purposes of the proposal have been achieved and may include lessons learned for future activities. Future grant requests will not be considered until final reports are received.

Restrictions:


â?¢ Mini Grants may NOT be used for capital improvements, construction, renovations, general operating expenses, social functions, parties or receptions.
â?¢ Mini Grants may NOT be used to fund a project whose sole purpose is to raise funds for the sponsoring organization/group beyond the cost of the event. All grant money must be used for the artistic component of the event.
â?¢ Mini Grants may NOT be used to promote any political or religious outlook, or which proselytize any political, religious belief or action.
â?¢ Min Grants for proposals already completed will NOT be considered.

Mini Grant Request Review Procedure:


â?¢ Mini Grant requests will be reviewed by the BICAA Coordinator and then submitted to the BICAA Board of Directors which makes the final funding decision. Applicants will receive an e-mail or letter stating the Board of Directors decision within 60 days after the submission deadline.

Criteria for evaluating grant requests.


1. Applications Packet: Was the application fully completed and submitted on time as required?
2. Cultural Merit: Does the proposal promote excellence and engagement in the arts? Does the proposal enhance the cultural activities and/or meet a cultural need of the Island?
3. Concept: Is the proposal well planned and presented?
4. Financial Need: Are grant funds truly needed and is the requested amount reasonable, or can this proposal support itself?
5. Impact: Will the proposed project have long lasting impact on participants? How many people will participate and what efforts will be made to publicize the event and include as many participants as possible?
6. Community Support: Does the organization/group proposal show evidence of strong community support?
7. Success Indicators: How does the proposal measure success?
8. Grants Received: Have the organization/group ever received a previous grant from BICAA and was a final report submitted? Does the project build on the success of previous efforts?

Agreement
18. Recipients of a BICAA Mini-Grant are REQUIRED to provide a follow-up report on the proposal. The report must be received by the BICAA no later than 30 days after the program has been concluded.

19. If this proposal is accepted, I give permission for my final report to be used in publicity, articles or presentations, online and in print. My name and the name of the organization will be attached wherever the report is posted.
